If you book a tour with us, we hold information about you. We must do this lawfully and fairly.
We collect and use individuals’ details only when we have legitimate business reasons and are legally entitled to do so.
Personal data is only used for the purpose(s) for which it was originally collected.

When you contact us (by e-mail, Facebook private messaging, phone, letter, in person or via our website) to enquire about our tours, receive further information or make a booking, we must collect personal details to fulfil your request. We do not accept contact on public forums. Please ensure if you contact us by Facebook that you are not disclosing information publicly.
Most of the time we need only each guest’s name and contact details (telephone number, postal address and/or e-mail address), but if you enter into a contract with us by making a booking, we require further information relating to you:
- Full name and address
- Date of birth
- Passport details
- Travel insurance details
- Other payment details
- Emergency contact details
- Special requirements, such as disability, medical conditions which may affect your enjoyment of the tour, any dietary restrictions
If you act as an organiser for a group, please make sure other members of your party are aware of this Policy and consent to you acting on their behalf in all your dealings with us
How we use and keep your personal data
We may retain your personal details in order to:
- complete and manage your booking
- send you booking updates and for general communication
- contact you with details of new tours, events, surveys, or competitions
- disclose it to the castle hotels to designate your booking
- process inter-account payments which go into our account with a note of your name and account source
- comply with a legal obligation to which we are subject
- disclose to organisations that perform business functions on our behalf and use the information for analysis including monitoring, measuring and assessing trends
- disclose your information for immigration, security and anti-terrorism purposes, if requested by overseas government authorities and to support your visa application
Our service providers will not retain any personal data that we process for longer than is necessary for the purpose of your booking
How we protect your data
We make sure that we have effective physical and IT security in place to protect your information
We never share your personal information with others for marketing purposes. In making a booking you consent to us sharing your data with the castle hotels and the British Embassy. Other than that, we do not share your data with other parties at all, except for rare legal obligations as stated.
Your rights under data protection law are:
To know what personal data we hold about you, where we process it and to be able to access it. We will supply you with a copy of your personal data. The first copy is free of charge, but additional copies are subject to a fee.
To have any inaccurate personal data we hold about you rectified and, for the purpose of processing a booking, to have any incomplete details completed.
In some circumstances, you have the right to have your personal details erased without delay (unless we have to comply with a legal obligation), including when your personal data is no longer necessary for the purposes for which we collected it, or you withdraw your consent for us to process it
(4) Restrict processing
If you contest your data’s accuracy, if it was processed unlawfully or if we no longer need the personal data for the purposes of our processing. Where processing has been restricted on this basis, we may continue to store your personal data
(5) Object to processing
If the processing is based on the justification ‘necessary for a public interest’ or ‘necessary for the purposes of the legitimate interests pursued by the controller’;
if personal data is processed for marketing purposes; and
if personal data is processed for scientific, historical research or statistical purposes. Please note we would not use your data for any purpose other than those for which you have hereby been notified, in any event

As we can only process your personal information with your consent, you have the right to withdraw that consent at any time. Naturally, we need your data while you continue to book, reserve and tour with us

We will not contact you for marketing purposes by post or e-mail unless you have given us prior consent to do so.

Making a complaint
If you are unsatisfied with the way in which we process your personal data, we ask that you let us know so that we can try and put things right. If we are not able to resolve issues to your satisfaction, you can refer the matter to the Information Commissioner’s Office (ICO).
